How to set up a business email account

A professional email address — you@yourbusiness.com instead of a generic @gmail.com — is one of the simplest ways to build instant credibility with customers. Here’s how to set one up from scratch.

Step 1: Log In to Your Email Control Panel

Log in to your hosting or email control panel using the login details provided when your account was set up.

Step 2: Create a New Email Account

Find the Email Accounts section and click Create. Choose the address you want (for example, sales@yourbusiness.com) and set a strong, unique password.

Step 3: Note Your Mail Server Settings

You’ll need these to connect the account to an email client:

  • Incoming server (IMAP): usually mail.yourdomain.com, port 993
  • Outgoing server (SMTP): usually mail.yourdomain.com, port 465 or 587
  • Your full email address as the username

These exact values are shown in your control panel and in your account welcome email.

Step 4: Add the Account to Outlook or Gmail

In Outlook, go to File > Add Account and enter your new email address. If it isn’t detected automatically, choose manual setup and enter the IMAP/SMTP details from Step 3. The process is similar in Gmail under Settings > Accounts > Add a mail account.

Step 5: Set Up Email on Your Phone

Using the same server settings, add the account through your phone’s built-in Mail app, or through the Outlook or Gmail mobile app if you prefer a consistent interface across devices.

Step 6: Send a Test Email

Before relying on the account for business, send a test email to a personal address and confirm you can both send and receive without issues.
